Position Overview
 As our Administrative Assistant, you’ll help keep Clueo Clinical running smoothly by handling day-to-day admin tasks, student communications, and content coordination.

You will support management, trainers, and students, ensuring our operations are organized, efficient, and professional.

This role is ideal for someone who is detail-oriented, proactive, and comfortable working remotely in a fast-paced, purpose-driven environment.    
Key Responsibilities
Email & Enquiry Management
• Monitor and manage our Admin Team inbox.
• Triage incoming messages to relevant Teams for resolution.
• Ensure empty inbox by C.O.B. every day.
• Respond to enquiries using approved templates and escalate when required.

Administrative Support
• Maintain electronic files and records.
• Provide general admin support to the CEO and team.
• Liaise with trainers, collaborators, industry partners, and students.
• Support student onboarding activities and orientation.
• Organize team communications, updates, and shared resources.
 
Content Coordination
• Upload and format blog posts in WordPress.
• Ensure messaging is consistent across admin, social media, and newsletters.
 
Reporting & Documentation
• Maintain activity logs of completed tasks.
• Prepare weekly admin updates for management.
• Track basic performance data and assist with reporting.
• Manage templates, contracts, files, and SOPs.
Skills & Experience
• Familiarity with Microsoft Office Suit, Zoom, and online mailbox management (minimum 1 year).
• Basic understanding of office admin and digital operations of e-signature platforms.
• Experience in healthcare, education, or life sciences is a plus, but not required.
• Strong English communication skills (written and spoken).
• Good computer skills and ability to quickly learn new tools.

Position Overview
As our Digital Operations Assistant, you’ll help keep Clueo Clinical’s digital systems running smoothly behind the scenes.

You’ll manage website updates, CRM automations, and newsletter automation ensuring our online platforms look great, function properly, and deliver seamless experiences for our students, clients, and partners.

If you enjoy mixing creativity with tech, love solving problems, and take pride in getting the details right, this role is perfect for you.
Key Responsibilities
CRM & Automations
• Update CRM pipelines and funnels for new marketing campaigns or training cohorts.
• Set up and manage automations (email sequences, form triggers, etc.) using Brevo (SendingBlue) or similar tools.
• Monitor existing automations to ensure everything runs smoothly (no errors or missed triggers).
• Support hot lead automations and database updates as directed.

Email & Newsletter Support
• Create and schedule newsletters following management direction and brand guidelines.
• Manage and monitor support inboxes, escalating requests or technical issues when needed.
• Ensure newsletters are well-formatted, responsive, and consistent with brand tone.

Website & SEO
• Update and maintain WordPress pages, blog posts, and landing pages.
• Optimize site content using Yoast SEO and Ubersuggest tools.
• Manage basic plugins, CSS, PHP, or JavaScript snippets to improve site functionality.
• Ensure all website updates are mobile-friendly and SEO-ready.
 
Technical Support
• Check and update PHP versions and general server configurations when required.
• Set up and manage company email accounts and signatures.
• Prepare, trim, or edit basic audio files for podcast or content uploads.
Skills & Experience
• Experience with WordPress, including page builders (Elementor, Gutenberg, or similar).
• Working knowledge of HTML, CSS, PHP, and basic JavaScript.
• Experience with CRM and email automation tools (Brevo, SendingBlue, Mailchimp, HubSpot, or similar).
• Basic understanding of SEO tools (Yoast, Ubersuggest, or similar).
• Ability to troubleshoot technical issues and suggest improvements.
• Strong attention to detail and documentation habits.
• Great English communication skills (written and spoken).

Position Overview
 As our Marketing Coordinator (VA), you’ll play a key role in helping Clueo Clinical reach and engage our global audience online.

You’ll help manage our social media, email campaigns, blog publishing, and digital marketing including paid ads, making sure our brand stays active, professional, and inspiring.

If you love content, organisation, and creativity. This role is for you.   
Key Responsibilities
1. Content Publishing
• Schedule and publish weekly posts on LinkedIn, Facebook, Instagram, and YouTube.
• Upload blogs, articles, and media content into WordPress (or similar CMS), ensuring correct formatting, SEO tagging, and readability.
• Maintain a consistent content calendar and ensure alignment with marketing priorities.

2. Community Engagement
• Monitor and respond to comments, messages, and audience interactions across all social channels.
• Research relevant hashtags, communities, and groups to improve brand visibility and engagement.
• Represent the Clueo brand tone with empathy and professionalism in all interactions.

3. Campaigns & Subscriber Growth
• Support the setup and scheduling of email marketing campaigns (Mailchimp or Brevo/SendingBlue).
• Assist in building and segmenting subscriber lists.
• Contribute ideas to grow our online community and lead pipeline.

4. Creative Production
• Design visuals and promotional materials using Canva or similar tools.
• Edit and produce short videos for social media (CapCut, Adobe Premiere Pro, etc.).
• Coordinate paid ad campaigns (Meta, Google Ads, YouTube) with supervision from the marketing lead.
• Ensure all content adheres to brand voice and visual identity guidelines.

5. Analytics & Insights
• Track and report on key metrics (growth, reach, engagement, conversions).
• Monitor social and digital trends, recommending adjustments to improve performance.
• Contribute to monthly and quarterly marketing reports.
Skills & Experience
• Strong understanding of LinkedIn, Facebook, Instagram, YouTube, and paid ad management (Google Ads, Meta).
• Experience with email marketing tools (Brevo/SendingBlue, Mailchimp, or similar).
• Basic skills in video editing (CapCut, Canva Video, or Adobe Premiere Pro).
• Familiarity with graphic design and brand storytelling.
• Solid grasp of content development, SEO basics, and analytics.
• Excellent attention to detail and consistency.
• Strong written communication and organisational skills.
• Keen awareness of digital marketing trends and social media best practices.
• Experience in healthcare, education, or life sciences sectors is an advantage (not essential).
